No more sign-ups in an email thread

When an association opens an event, a course, or a team, the sign-ups far too often end up in an email thread, a comment in a Facebook group, and a note on the board. Someone has to gather it all, nobody is quite sure how many are actually coming, and the last messages always get buried.

Activities and booking bring it into one place. You create events, courses, and teams, open registration, and members sign up directly. Instead of keeping the count in your head, you always have an up-to-date participant list as the sign-ups come in.

Members book times and rooms themselves

Beyond the fixed events, members can book times and rooms themselves, whether it's a court, a meeting room, or a slot with an instructor. They see what's available and reserve it themselves, without having to message someone and wait for a reply.

For the association it means bookings no longer go through a single person with the calendar in their head. The overview sits in the platform, so two members don't end up booking the same court at the same time, and the board is spared being the middleman every time someone wants to borrow a room.

Payment linked directly in

Some activities cost money, a course, a team fee, a participant charge, and the collection shouldn't sit somewhere else entirely from the sign-up. You can charge for the activities that cost, so the member pays in the same flow they register in.

That removes the classic aftermath where someone later has to tick off who has paid and chase those who haven't. Registration and payment belong together, and the money flows into the same finances as the rest of the association, instead of living on its own in a separate payment system.

Always an overview of who's coming

The heart of it all is the participant list. For each event, course, or team you see continuously who is registered and how many places are left. That makes it easy to plan whether to bake a cake for fifteen or fifty, and whether to open more places or close registration.

The overview is shared, so it isn't only one person who knows who's coming. Both the person running the event and the board can see the status, and members can see what they've signed up for. It's far more reliable than a list edited in turn by several hands.

Recurring series are on the way

Many associations have activities that repeat at the same time every week, the fixed training session, the weekly meeting slot. Recurring series, where you create the whole run at once, are not yet part of the feature, and until they arrive you create each occurrence individually.

That's worth being aware of if your everyday life is built on fixed, recurring times: you can use activities and booking fully today, but for now you have to add each individual session manually until series are included.
